Claiming your volunteer expenses
We appreciate that our volunteers give their time for free and we’d never expect you to be out-of-pocket for activities you are undertaking as part of your voluntary work for People & Planet! We pay all reasonable volunteer expenses incurred.
Making an expenses claim
It is super easy to claim your volunteer expenses - download your expenses claim form here.
Please send your expenses forms to:
People & Planet Volunteer Coordinator, People & Planet, 51 Union Street, Oxford, OX41JP.
Please make it clear who you are and what your volunteer role is. If you have any questions about how to submit expense claims then please speak to your support buddy or to Adam in the People & Planet volunteer team.
What you can claim for
When you come for training expense claims will be fully explained - what you can and cannot claim for. Here’s a quick reminder:
- Breakfast - £4.00
- Lunch - £4.00
- Dinner - £7.00
- Travel - all reasonable costs (no first class tickets)
Things you need to know about expenses
You are only entitled to claim for expenses that are relevant to the hours in the day that you have worked. For example, you cannot claim for breakfast if you have not volunteered during breakfast time. If this is unclear please ask for guidance from your support buddy or from Adam in the volunteer team.
You cannot claim for alcohol on expenses
You can only claim for reasonable expenses - so no first class rail travel. If you have a young persons rail card you will be expected to use it and book your travel in advance if using rail.
How will you get your money back
When you fill out your expenses claim form you can either opt for your money to be sent to via cheque or paid straight in to your bank account (a BACs payment). Be sure to state which you’d prefer on your expenses form.
Cheque:
- If you’d prefer cheque then please provide your address so that we can send it to you.
Directly in to your bank account (BACs payment):
- If you’d prefer money to be paid straight in to your account we’ll need your bank account number and sort code so please provide these details on your expenses claim form.
Can’t afford to pay out for things like travel and then claim back?:
- No worries! As young people in education we understand that you may not be able to afford to pay out for volunteer expenses like travel and then wait for the money to be paid back to you. Just get in touch with People & Planet and we can arrange for you to have an advance on your expense costs or we could book your travel for you - there are plenty of ways around it. We are here to help you!
